1. Agency Role

FJ Travels and Tours acts solely as an agent for airlines, hotels, tour operators, transportation providers, visa processors, consolidators, insurance providers, and other travel suppliers.

FJ Travels and Tours does not own, manage, control, or operate any airline, hotel, transportation company, visa office, government authority, or third-party supplier.

All travel services remain subject to the terms and conditions of the respective supplier.

2. Quotations & Pricing

All quotations are subject to availability until payment has been received and services have been confirmed.

Airline fares, taxes, hotel rates, supplier charges, exchange rates, and government fees may change without notice prior to ticket issuance or booking confirmation.

Once tickets or services have been issued and paid for, FJ Travels and Tours will not increase the original purchase price unless the client requests changes to the booking.

3. Passenger Information

Passengers are responsible for providing accurate information at the time of booking. Names must match the passenger’s passport exactly.

Any correction, modification, or reissue requested after booking may result in: airline penalties, fare differences, supplier fees, and agency service fees.

FJ Travels and Tours is not responsible for errors resulting from incorrect information supplied by the client.

4. Ticket Review Responsibility

Passengers must review all tickets, invoices, vouchers, and travel documents immediately upon receipt, and must verify passenger names, travel dates, flight schedules, destinations, airline routing, baggage allowance, and ticket restrictions. Any discrepancy must be reported immediately.

Most airlines permit ticket voiding only until midnight on the date of issuance. After the voiding deadline has passed, airline penalties, supplier charges, fare differences, and agency fees may apply.

5. Passport, Visa & Travel Documentation

Passengers are solely responsible for obtaining and carrying all required travel documents, including valid passports, visas, transit visas, permanent resident documentation, overseas cards or residency permits, vaccination certificates where required, and any additional travel documents required by airlines, immigration authorities, or destination countries.

Failure to possess proper documentation may result in denied boarding, denied entry, deportation, fines, or additional travel expenses. FJ Travels and Tours accepts no responsibility for losses arising from documentation issues.

6. Immigration & Border Control

Entry into any country remains solely at the discretion of immigration, customs, border security, and government authorities. Possession of a valid passport, visa, ticket, hotel reservation, or supporting documents does not guarantee admission.

FJ Travels and Tours cannot influence decisions made by immigration authorities, embassies, consulates, customs officers, airlines, or government agencies.

7. Airline Tickets & Fare Rules

All airline tickets are subject to the fare rules and restrictions imposed by the issuing airline. Unless specifically stated otherwise: tickets are non-transferable, tickets may be non-refundable, name changes may not be permitted, date changes may be restricted, and fare differences may apply.

Airline rules may change without notice.

8. Flight Schedule Changes

Airlines may change flight times, flight numbers, aircraft types, airports, terminals, and operating carriers without notice. Passengers remain responsible for monitoring their own flights.

FJ Travels and Tours recommends checking flight status 48 hours before departure, 24 hours before departure, and on the day of travel.

While FJ Travels and Tours may attempt to notify passengers of known schedule changes, notification cannot be guaranteed.

9. Baggage Policy

Baggage allowances vary by airline, destination, route, and fare class. Passengers are responsible for verifying baggage entitlements directly with the airline prior to travel.

FJ Travels and Tours is not responsible for airline baggage restrictions, excess baggage fees, or lost, delayed, or damaged baggage. Any baggage claims must be made directly with the airline.

10. Agency Service Fees

FJ Travels and Tours provides professional services including travel consultation, fare research, itinerary planning, booking management, ticket issuance, airline coordination, schedule monitoring, visa assistance, and customer support. Agency service fees are earned once services have been rendered and are separate from airline fares, taxes, government fees, and supplier charges.

Current service charges may include:

• Ticket Issuance Fee: Up to $100 per passenger
• Agency Service Fee: Up to $250 per passenger
• Consolidator Cancellation Fee: $50 per passenger
• Visa Processing Fee: As quoted
• Package Administration Fee: As quoted

All agency service fees are non-refundable once services have been provided.

11. Changes, Cancellations & Refunds

Any request for date changes, flight changes, name corrections, ticket cancellations, or refunds will be subject to airline rules, supplier policies, and applicable fees. Charges may include airline penalties, fare differences, supplier fees, government charges, consolidator fees, and agency service fees.

Refunds are processed only after approval from the airline or supplier. Refund processing times vary and may take several weeks or months depending upon the supplier.

12. Airline Cancellations & Refund Requests

Airlines may cancel, delay, reschedule, or modify flights for operational, weather-related, regulatory, commercial, or other reasons beyond the control of FJ Travels and Tours. Where an airline offers a refund, travel credit, or alternate travel arrangements, such refunds remain subject to airline approval and fare rules. FJ Travels and Tours will refund only the amount recovered from the airline and/or supplier.

Agency service fees, booking fees, ticket issuance fees, consultation fees, administrative fees, and consolidator cancellation fees remain non-refundable because the contracted travel services have already been completed.

Where applicable, FJ Travels and Tours reserves the right to deduct:

• Agency Service Fee up to $250 per passenger
• Consolidator Cancellation Fee of $50 per passenger
• Applicable supplier administrative charges

before releasing any airline-approved refund to the passenger.

13. Travel Insurance

Passengers are strongly encouraged to purchase travel insurance covering medical emergencies, trip cancellation, trip interruption, travel delays, and baggage protection.

Passengers declining insurance accept all associated risks and financial losses that may arise.

14. Visa Services

Visa fees, processing fees, government fees, supplier charges, and agency service fees are non-refundable once applications have been submitted or services have commenced.

Visa approval remains solely at the discretion of the issuing authority. FJ Travels and Tours does not guarantee visa issuance.

15. Umrah, Hajj & Religious Travel

Umrah and Hajj packages may include airline tickets, hotels, transportation, visa processing, and religious guidance services.

Supplier substitutions, hotel changes, transportation adjustments, and schedule modifications may occur due to operational requirements. Equivalent alternatives may be provided where necessary.

16. Hotels, Tours & Ground Services

Hotel ratings, descriptions, photographs, amenities, and facilities are provided by suppliers. FJ Travels & Tours is not responsible for changes made by hotels, transportation providers, or tour operators.

17. Force Majeure

FJ Travels and Tours shall not be liable for losses, delays, interruptions, or expenses caused by events beyond its control, including weather conditions, natural disasters, war or civil unrest, government actions, airport closures, airline strikes, health emergencies, public health restrictions, or supplier failures.

18. Payment Disputes & Chargebacks

Clients agree to contact FJ Travels and Tours directly to resolve any concerns before initiating credit card disputes or chargebacks.

Clients acknowledge that agency service fees represent completed professional services and remain payable even where airline refunds may be requested.

FJ Travels and Tours reserves the right to submit invoices, correspondence, supplier records, ticket records, call logs, and other supporting documentation in response to any payment dispute or chargeback.

19. Customer Conduct Policy

FJ Travels and Tours is committed to providing professional and respectful service.

Harassment, threats, abusive language, intimidation, discrimination, repeated unwanted communications, or inappropriate conduct toward staff members will not be tolerated. The agency reserves the right to refuse service where such conduct occurs.

20. Reviews & Public Statements

FJ Travels and Tours welcomes honest customer feedback and reviews.

However, knowingly false, defamatory, malicious, misleading, or harmful statements intended to damage the agency, its employees, contractors, or reputation may result in the agency pursuing all available legal remedies under applicable law.

21. Privacy & Communications

Clients consent to receiving booking confirmations, travel updates, invoices and receipts, travel advisories, and promotional offers and newsletters. Clients may unsubscribe from marketing communications at any time.

Operational and travel-related communications may still be sent where necessary to provide booked services.

22. Limitation of Liability

FJ Travels and Tours shall not be liable for airline delays or cancellations, missed connections, immigration decisions, visa refusals, lost baggage, supplier failures, government restrictions, or financial losses arising from travel interruptions.

Any liability, if established, shall be limited to the amount of agency service fees paid directly to FJ Travels & Tours.

23. Governing Law

These Terms & Conditions shall be governed by the laws of the Province of Ontario and the laws of Canada applicable therein.

Any dispute arising from services provided by FJ Travels and Tours shall be subject to the exclusive jurisdiction of the courts of Ontario, Canada.
